Code of Conduct

We believe that the roleplaying community should be open and accessible to everyone. Day of Dungeons is committed to providing a friendly, safe and welcoming environment for all, regardless of gender identity, sexual orientation, disability, ethnicity, religion, age, or fandom.

This Code of Conduct applies to all participants at the event, including attendees, sponsors, exhibitors, volunteers, staff, game masters and special guests.

1. Purpose

This Code of Conduct outlines the expectations for participant behavior as well as consequences for unacceptable behavior. All determinations of appropriate or inappropriate behavior are at the sole discretion of Second Wind vzw and designated on-site staff.

2. expected behavior

All event participants are expected to:

  • Be considerate, respectful, and collaborative.
  • Refrain from discriminatory, harassing, or demeaning behavior, speech, or materials.
  • Be mindful of your surroundings and fellow participants.
  • Alert event staff if you notice a dangerous situation, someone in distress, or violations of this Code of Conduct.
We encourage:
  • Respectful use of names and pronouns. If you’re unsure, ask politely.
  • Welcoming new players and helping them find their way.
  • Obtaining consent before taking photos, videos, or engaging in physical contact.
  • Taking care of yourself and others. Check in, take breaks, and communicate.
  • Using inclusive language and demonstrating curiosity instead of judgment.

3. Unacceptable Behavior

Unacceptable behaviors include, but are not limited to:

  • Harassment, intimidation, abuse, or discrimination in any form.
  • Offensive comments or actions related to gender, gender identity, sexual orientation, race, religion, disability, physical appearance, body size, age, or other personal characteristics.
  • Stalking, deliberate intimidation, or sustained disruption of events or games.
  • Inappropriate physical contact, unwelcome sexual attention.
  • Non-consensual photography or recording.
  • Treating cosplay or costuming as an invitation to interact physically or without consent – Cosplay is not consent.
  • Possession of real or realistic weapons. Only clearly identifiable foam or plastic prop weapons are permitted and must be used responsibly.
  • Lewd, obscene, or offensive gestures or language.
  • Open consumption of alcohol outside designated areas.
  • Use or possession of illegal substances.
  • Smoking or vaping anywhere inside the venue.
  • Unauthorized solicitation or distribution of flyers or promotional materials.
  • Bringing animals into the venue, except for certified assistance animals.
  • Violating venue policies.

Intent does not override impact. If someone indicates your behavior is unwelcome, stop immediately.

4. Reporting Violations

We take all concerns seriously. If you witness or experience behavior that violates this Code of Conduct, we encourage you to report it promptly in one of the following ways:

In-person reporting
Find a Day of Dungeons crew member. They can be identified by their t-shirts with the Day of Dungeons logo or lanyards labeled “Crew.” You can also go to the reception desk, located near the main entrance.

By email
You can contact us at report@dayofdungeons.be during or after the event.

Anonymous or confidential reporting
You may report an incident without providing your name. Whether you report in person or via email, simply state that you wish to remain anonymous.
All reports are handled with strict confidentiality. Your identity will only be shared on a need-to-know basis among designated staff, solely for the purpose of addressing the situation. It will never be shared with the general public or the person involved in the violation, unless you explicitly give permission.

We will offer support to those affected by harassment, which may include contacting venue security or local authorities, providing escorts, or arranging alternative participation options to ensure safety and comfort.

5. Consequences

Anyone asked to stop unacceptable behavior is expected to comply immediately.

At the discretion of Day of Dungeons staff, violations of the Code of Conduct may result in:

  • A verbal warning
  • Removal from specific sessions
  • Expulsion from the event without refund
  • Banning from future events

We reserve the right to take immediate action without prior warning if the situation warrants it. If you believe a report has not been handled properly, you may escalate your concerns to the event organizers via dm@dayofdungeons.be.

6. Scope

This Code of Conduct applies to the entire event space, including all game rooms, vendor areas, workshops, social events, and affiliated gatherings (e.g. Burcht & Betovering), whether physical or online (e.g. Discord channels).

7. Photography and Videography

By entering the event, you consent to being photographed or filmed by event staff or official media partners for promotional purposes. If you prefer not to appear in such material, please inform a crew member at the start of the event so accommodations can be made.
While we will make every reasonable effort to respect these preferences, please note that due to the scale and public nature of the event, we cannot fully guarantee that your image will not appear in event photography or promotional content.

7. Maintenance

This Code of Conduct is reviewed annually and updated as needed to reflect the growth and needs of our community.
